What is a payment gateway, and do you need one?

A payment gateway is the software that carries a card payment from your checkout to the card networks and back, approving or declining it in about a second. If you take cards online, over the phone, or through a virtual terminal, you are using one — whether you notice it or not.

What does a payment gateway actually do?

When a customer enters their card details, the gateway encrypts them, sends them to the card network for authorisation, and returns an approve-or-decline answer to your checkout. It is the secure messenger between four parties: your customer's bank, the card network, your acquiring bank, and you. The whole exchange takes about a second.

Is a gateway the same as a merchant account?

No, and the difference matters. A merchant account is the bank account that holds card funds before they settle to you. A gateway is the software that moves the transaction. You need both to accept cards — the merchant account to hold the money, the gateway to process the payment. Some providers bundle them; others, like VOXEPAY, set up the gateway on top of your merchant account so you keep flexibility.

When do you actually need a gateway?

  • Selling online — a gateway is required to accept cards on a website.
  • Taking payments by phone or mail — a virtual terminal runs on a gateway.
  • Recurring billing — subscriptions and instalments are managed through the gateway.
  • In person only, nothing else — a standalone terminal may be enough, but a gateway adds online and virtual options later.
